ProQuote Implementation Process

IMPAC helps clients re-engineer their price list management and sales quotation process to increase productivity, cut costs and generate more revenue. IMPAC completes every project with a clear definition of scope and a thorough review of the customer's business requirements. We minimize implementation risks through proper planning, setting priorities for customization and a phased-in implementation methodology with clearly stated deliverables and performance measurements. An essential component of each phase is knowledge transfer.

1) Business Requirements and Conference Room Trial (CRT)

The Business Requirements Analysis and Conference Room Trial is the first step in the implementation process. The purpose of the needs analysis phase is to a)scope the project deliverables and performance measurements, b) investigate and document the client's price list management and sales quotation requirements and c) review procedures and identify process improvements.

As part of this phase we conduct a Conference Room Trial to demonstrate how ProQuote can adapt to the client's needs. During the conference room trial we set-up several User Defined Fields (UDF), configure sample business rules, import a test data set and work through the steps of generating a quote using the customer's data. We also review management reporting needs and any special customization and integration issues.

Depending on the complexity of the project and the levels of management involved, the analysis phase can run from a few days to several weeks. Typical costs for this phase run from $4,000.00 -$10,000.00 to complete. At the conclusion of the analysis phase, we deliver a Requirements Document, Implementation Plan and Project Cost Estimate.

2) Pilot Phase

ProQuote is a highly configurable program that allows an almost unlimited number of User Defined Fields (UDF) and business rules to calculate price, cost, discounts and other values. Each ProQuote implementation is tailored to the specific needs of the client.

Starting with a system template, IMPAC delivers a tailored implementation in 1-2 months, depending on the customers requirements. For larger projects or implementations involving significant integration and customization we like to implement a pilot or "proof of concept" system. In some cases, we start with an MS-Access prototype solution and then rollout the production version under Microsoft's SQL server. At this stage, the emphasis is on proving the essential functionality, customization and integration requirements while less crucial enhancements are deferred to subsequent project phases.

The pilot project typically involves three to five users. The goal of the pilot team is to work through the new quoting process and provide feedback on any changes required before rolling the software out to others. Importing data, setting business rules and configuring the program to the customer's requirements is completed under this phase. Key customization and integration requirements are also implemented.

3) Roll-Out Phase

Once the pilot project is operating to plan, the roll-out phase covers the implementation of the production version to all users and divisions. This can be completed in a series of steps or in parallel with other activities for rapid deployment. On larger projects this phase usually incorporates the implementation of non-critical program enhancements and management reporting not covered in the pilot phase. Depending on the number of locations and users a typical SQL production implementation can run 1-3 months.

User's are divided into small groups and provided training covering procedures for building, revising and tracking quotes, generating standard reports, adding and updating information, copying quotes and other procedures. One-on-one training is also available, if required.

Systems Administration training is also provided at this stage covering database table structure, import/export procedures, data management, backup and archiving, configuring system parameters, user login and security, editing business rules and UDF's, common trouble shooting techniques and other administrator tasks. Microsoft certified training in SQL Server Database Administration is a prerequisite for the ProQuote SQL Systems Administrator.

4) Post Implementation support

Post implementation support involves two components. The first is a software support and maintenance agreement that covers telephone and remote dial-up support, extended warranty and maintenance. The second component involves timely response to users and management's request for minor changes after working with the production system for a few weeks.
